Senior Supply Chain and Distribution Specialist

Position Summary

Spirit of Math is seeking a Senior Supply Chain and Distribution Specialist to strengthen how materials reach our campuses in Canada and as we grow internationally. This role will source and manage suppliers, plan inventory and purchasing, and develop practical distribution and shipping approaches across our campus network.

A key priority is working with major vendors to establish and manage direct-ordering portals for campuses. You will help determine which products should be ordered directly from suppliers, which should be stocked centrally, and how to maintain accurate pricing, product information and service standards across those channels.

We will continue to fulfill some orders from Head Office. You will oversee those orders and provide hands-on support with picking, packing, receiving and shipping when needed, working alongside the Fulfillment Associate.


Responsibilities

  • Identify, evaluate and manage suppliers; compare pricing, quality, lead times and delivery performance.
  • Coordinate supplier ordering portals for campuses, including catalogues, pricing, order flows, issue resolution and vendor accountability.
  • Plan purchasing and replenishment using demand, lead times, new campus needs and academic-year peaks.
  • Maintain inventory accuracy, reorder levels and product data in Business Central and related systems.
  • Within Microsoft Business Central, create and maintain sales documents for materials and services ordered by franchisees, including invoicing in accordance with approved pricing and Finance procedures.
  • Prepare and submit documented proposals for physical inventory adjustments arising from counts, damage, obsolescence or other verified variances.
  • Maintain complete and timely fulfillment records in Business Central, including inventory, orders, shipments, sales invoices, backorders and related status information.
  • Develop domestic and international distribution options, including freight, customs documentation and delivery requirements with specialist partners.
  • Monitor campus orders across direct-vendor and Head Office fulfillment channels and communicate delays or exceptions.
  • Improve purchasing, inventory and shipping processes using clear measures and documented procedures.
  • Pick, pack, receive and ship materials when operational coverage is required.

Experience and Skills

  • At least 4+ years of relevant experience in procurement, supply chain, inventory planning, distribution or vendor management.
  • Experience sourcing suppliers, managing purchase orders and negotiating or comparing commercial terms.
  • Experience planning inventory and working with an ERP or inventory management system; strong Excel skills.
  • Ability to coordinate multiple suppliers, orders and stakeholders and turn operational data into practical decisions.
  • Clear communication with vendors, campuses and internal teams; comfort working in an office and warehouse setting.
  • Experience with international shipping, customs processes, multi-location distribution or vendor ordering portals is an asset.
  • Ability to lift and carry packages up to 50 lb./23 kg when providing warehouse support.
