123Dentist is one of Canada’s largest dental support organizations, providing business, technology, and administrative support to a network of approximately 550 clinics across the country. Our Technology Services team delivers the infrastructure, systems, cybersecurity, and vendor governance that keep those clinics running so that clinical teams can focus on patient care.
About the Role
123Dentist supports approximately 550 dental clinics across Canada. Internet and telephone services at these sites were contracted over many years by individual practices, prior owners, and acquired groups, and the organization does not currently hold a reliable record of who holds each account, who is authorized to transact on it, or what is being paid. This creates real service gaps – outages that can’t be escalated because no one on file is an authorized contact, relocations that can’t be scheduled, and billing that continues after a site has closed.
As the Telecom & Connectivity Account Coordinator, you’ll build and maintain the record that fixes this – owning the account register, the request pipeline, and day-to-day coordination with clinics and vendors. This is a high-volume coordination and administration role: success depends on organization, persistence, and follow-through across several hundred open items, not on prior telecom expertise. Commercial decisions, contract terms, and vendor disputes are escalated to the VP, IT Service Delivery.
What You’ll Do
- Build a central register of every internet, telephone, mobility, and connectivity account across the clinic network, gathering vendor, account, billing, and contact details from clinic staff, vendor portals, invoices, and internal records
- Contact clinics directly to confirm details, chase missing information, and identify the right site contact, flagging gaps and discrepancies for review
- Act as the intake point for requests to install, relocate, upgrade, downgrade, or disconnect internet and phone services, logging and routing each for approval
- Place approved orders with vendors, track them to completion, and follow up persistently where vendors miss dates or fail to respond
- Coordinate installation dates and site access with clinic staff, Operations, and IT service providers, and confirm services are delivered and billed correctly
- Prepare vendor forms, Letters of Authorization, and change-of-ownership paperwork, routing them for signature and tracking each correction through to vendor confirmation
- Update authorized contacts on accounts and escalate stalled items to the VP, IT Service Delivery with a clear summary of what’s been attempted
- Support onboarding of newly acquired clinics by collecting account information and processing transfers, and verify that services at closed or merged sites are properly disconnected
- Provide regular written status updates on register completeness, open requests, and outstanding blockers, keeping process documentation current
What You Bring
- Post-secondary degree or diploma in business administration, commerce, information systems, supply chain, or a related field – recent graduates are encouraged to apply
- Strong organizational skills and the ability to manage a high volume of open items independently without losing track of them
- Demonstrated persistence and comfort with follow-up – a significant share of this role is chasing people and vendors who haven’t responded
- Clear, professional written and verbal communication, with the ability to deal courteously and credibly with clinic staff, practice owners, and vendor representatives
- Solid Excel skills (filtering, lookups, pivot tables) and comfort working with large lists of records
- High attention to detail in data entry and record keeping
- Working proficiency in French is an asset
- Any experience in a coordination, administration, customer service, procurement, or dispatch role, including co-op or internship placements, is an asset
- Familiarity with ticketing, CRM, or asset management tools is an asset
- Interest in IT service delivery, telecommunications, or vendor management as a career direction is an asset
