Position Description

Currently, Tetranex is seeking a full-time Manager of Document Control to lead and oversee our Document Control Department and support the successful execution of our engineering and project work.

Reporting to the Manager of Projects, the Manager of Document Control is responsible for department leadership, resource planning, project support, quality oversight, process development, and continuous improvement.

The successful candidate will have a strong understanding of Document Control within an engineering and procurement environment, including the full lifecycle of project documentation. They will be comfortable supporting multiple concurrent projects and clients with varying requirements and will bring a practical, adaptable approach to managing resources, systems, and processes.


Responsibilities:

  • Lead, manage, mentor, and develop the Document Control team, including performance reviews, training, onboarding, and day-to-day guidance.
  • Oversee Document Control activities across multiple simultaneous projects and clients, ensuring compliance with project, client, and company requirements.
  • Provide direct Document Control support on projects as required, including project setup, document management, coordination, troubleshooting, and turnover activities.
  • Provide Document Control advice and direction to project teams, management, and other departments.
  • Participate in project estimating, resource forecasting, workload planning, and project deliverable scheduling.
  • Monitor departmental workload, resourcing, utilization, and monthly performance metrics.
  • Develop, maintain, and improve Document Control policies, procedures, tools, templates, trackers, and workflows.
  • Conduct departmental audits and provide oversight to ensure consistent application of Document Control and quality requirements.
  • Oversee Document Control systems and software and identify opportunities for practical improvements.
  • Review and approve timesheets and support effective resource utilization.
  • Assist with project team training, Lunch & Learns, and other company training initiatives.
  • Ensure engineering, procurement, vendor, and project documentation is effectively managed, controlled, tracked, and distributed throughout the full project lifecycle, including project turnover and closeout.


Requirements:

  • 10+ years of experience in Document Control or Document Management, preferably within an engineering, EPC, or EPCM environment.
  • Previous supervisory, team leadership, or people management experience.
  • Strong understanding of Document Control throughout the full engineering and project lifecycle.
  • Experience managing multiple concurrent projects for various clients with differing standards, specifications, and requirements.
  • Strong understanding of engineering, procurement, and vendor document workflows, including revision control, tracking, distribution, turnover, and closeout.
  • Demonstrated ability to develop and improve processes, procedures, tools, and workflows.
  • Practical, adaptable problem solver with the ability to work effectively within available resources, systems, and tools while identifying opportunities for improvement.
  • Excellent communication, organizational, analytical, and problem-solving skills.
  • Strong attention to detail and commitment to quality.
  • Proficient in Microsoft Office Suite and experienced with document management systems/EDMS.
  • Bluebeam Revu experience is an asset.
