The Opportunity
Under Sunwing Vacations, we are looking for a Bilingual Group Sales Coordinator to join the Group Sales Team. In this role, you will provide booking administration support for assigned accounts and Group Sales Representatives. This includes creating and modifying bookings as well as completing various specialized tasks to ensure group customers and travel agents are served quickly and efficiently.
You will communicate with customers in a professional, courteous and friendly manner, both by phone and in writing, to build strong customer relationships and support customer retention and referrals.
Reporting to the Group Sales Supervisor, this position is based in Laval, Quebec.
Schedule and Working Conditions
- Position: Permanent full-time
- Schedule: 35 hours per week, with the possibility of overtime based on business needs
What You’ll Do
- Process group booking requests.
- Check quotes against the booking system and verify rates.
- Balance accounting on files.
- Work with Payload, Inventory or Costings when specific inventory is required.
- Confirm booking numbers with the Group Sales Representative (GSR) and hand over the file to the GSR for contract and initial invoice issuance.
- Identify the group leader on the booking and obtain their contact information.
- Follow up on payments and outstanding balances with customers and escalate collection challenges to the GSR.
- Process modifications requested by GSRs or customers.
- Process group block seating and seat selection requests.
- Process booking releases based on contracted policies.
- Prepare bookings using final rooming lists.
- Issue invoices for booking modifications to keep customers updated on booking status and outstanding balances.
- Issue E-Docs when required.
- Validate and adjust insurance on files as necessary.
- Correct duplicate seat selections.
- Add complimentary Elite Plus seat assignments for wedding couples and group leaders.
- Follow up on pending names and dates of birth.
- Add FIT transfer details.
- Attend training sessions assigned by management and the Group Sales Trainer.
- Maintain product knowledge and participate in ongoing training as scheduled.
- Attend product webinars.
- Organize information for quick reference when required.
- Stay current on procedural changes and updates.
- Assist with answering the call queue as needed.
- Monitor email inboxes related to Coordinator file administration.
- Provide GSR vacation coverage.
- Own and manage assigned specialty groups from start to finish.
- Perform other duties as assigned.
What You’ll Need
- At least 1 year of administrative and customer service experience.
- Bilingual in French and English, with excellent verbal and written communication skills.
- Excellent time management skills with the ability to multitask and prioritize.
- Strong organizational skills and attention to detail.
- Comfortable interacting with customers and committed to providing excellent customer service.
- Strong communication skills, including proper phone and email etiquette.
- Strong problem-solving skills.
- Ability to work independently while contributing to a supportive team environment.
- Good computer skills, including Microsoft Office. Experience with reservation systems is an asset.
- TICO/OPC* certification is required upon hiring.
*TICO / OPC Certification
TICO (Ontario) or OPC (Quebec) certification is considered an asset upon hiring.
If you do not hold this certification, it will be required as part of your employment. Fees are associated with the examination and obtaining the certification. The company will cover the cost of the first examination attempt; subsequent attempts will be at the employee’s expense.
