We are looking for a full-time Senior Legal Administrator – Real Estate Development to join our Neighbourhood Developments team. This is an opportunity to leverage your real estate legal experience while playing a key role in supporting development projects from acquisition through completion. You will coordinate and administer development-related legal agreements and documentation, due diligence, key milestones and stakeholder requirements throughout the development process.

About the Role
- Lead real estate transaction administration from due diligence through closing for acquisitions, dispositions, refinancing, leasing and land development matters.
- Coordinate transactional and legal documentation, ensuring accuracy, execution, filing and compliance with Company policies and signing authorities.
- Administer land development agreements and contracts throughout the development lifecycle, including subdivision, site plan, municipal, builder, easement, cost-sharing, consultant, engineering and construction agreements.
- Manage due diligence, title searches and closing requirements, including critical dates, conditions, registrations, payments and outstanding obligations.
- Coordinate stakeholders including internal teams, legal counsel, lenders, municipalities, builders, consultants and other business partners to resolve issues and support timely transactions.
- Maintain comprehensive transaction and contract tracking systems, monitoring obligations, risks, approvals, payments, milestones, renewals, expiries and close-out requirements.
- Maintain accurate records and document controls, ensuring executed agreements and confidential information are appropriately distributed, filed and protected.
- Develop and maintain standardized templates, precedents, checklists and information packages to improve consistency and efficiency across transactions and development projects.
- Administer Teranet and GeoWarehouse, supporting title searches, ownership verification, property research, parcel mapping, registrations and due diligence.
- Prepare reporting for senior management on transaction status, contractual obligations, outstanding conditions, risks, critical dates and development milestones.
- Support land and inventory administration, including farm leases, tenancy arrangements, lot/site inventory and mortgage reporting.
- Monitor legislative and regulatory developments affecting real estate and land development and communicate relevant impacts to leadership.
- Serve as a senior departmental resource, providing guidance on real estate transactions, development agreements, contract administration and legal processes.
- Identify and implement process improvements to workflows, tracking systems, reporting, document controls and departmental procedures.
Experience
- Three-year diploma or degree in Law Clerk, Legal Services, Real Estate, Urban Land Development, Business Administration or a related discipline, or an equivalent combination of education and experience.
- Minimum 8 years of progressive experience in senior real estate legal administration, law clerk or comparable roles supporting complex real estate transactions and land development.
- Advanced knowledge of acquisitions, dispositions, financing, leasing, land development, due diligence, title searches, Land Titles registrations and closing processes.
- Strong experience preparing, reviewing and administering purchase and sale agreements, financing documents, leases, easements, subdivision/site plan agreements, development agreements and related Land Titles documentation.
- Proficiency with Teranet, GeoWarehouse and Ontario land registry systems for title searches, ownership verification, mapping and transaction due diligence.
- Experience administering development-related contracts and tracking obligations, approvals, insurance, securities, payments, milestones, renewals and close-out requirements is an asset.
- Exceptional organizational, analytical and time-management skills, with the ability to manage multiple complex transactions and competing deadlines accurately.
- Excellent written and verbal communication skills, with the ability to work effectively with senior leaders, legal counsel, municipalities, builders and other stakeholders.
- Advanced Microsoft Office skills, particularly Word, Excel and Outlook, with experience using document management, CRM and project management systems.
- Demonstrated ability to coordinate projects, improve processes, develop tracking systems and provide guidance on transactional documentation and procedures.
