We are seeking a proactive and client-focused Partner Administrative Assistant to join the team at SB Partners LLP.

Purpose of the position:

As a Partner Administrative Assistant, you will provide administrative and operational support to Partners, Senior Managers, and Managers to enable the efficient delivery of client services and day to day operations. This role supports the development and maintenance of strong client relationships through responsive, professional service, and seamless coordination of client engagements. The successful candidate will be highly organized, adaptable, and client-focused, with the ability to manage competing priorities while delivering exceptional service and maintaining a high standard of quality and professionalism.

Key responsibilities and Duties:

  • Provide comprehensive administrative support to the Partner and Audit & Assurance team, ensuring deadlines, priorities, and client commitments are effectively managed
  • Coordinate and manage Partner calendars, including scheduling meetings, managing conflicting priorities, arranging meeting logistics, and ensuring supporting materials are prepared as required
  • Prepare and distribute client correspondence, engagement letters, financial statements, and other client deliverables in accordance with firm standards
  • Collate, and assemble various financial documents, Canadian and U.S. personal and corporate tax returns, and other statutory filings including covering letters
  • Monitor and track the status of projects and tasks in the appropriate software while proactively communicating any delays, outstanding items, and priority changes as needed
  • Produce client invoices under direction of the Partner and assist with ensuring timely delivery of billing documentation
  • Facilitate weekly workflow processes to support the timely completion of deliverables and workflow commitments
  • Setup and maintain client files within the firm’s software applications and ensure appropriate documentation is retained in accordance with firm standards
  • Complete E-Filing of tax returns and slips, as required
  • Coordinate the delivery of final client packages and client sign off requirements
  • Maintain organized paper and electronic filing systems, including the retrieval, storage, and setup of client files and documentation
  • Respond to internal and external client communications in a professional and timely manner and assist in addressing inquiries, concerns, and requests
  • Support clients with navigating CRA and client portal websites, as required
  • Manage the intake of client documents and perform general administrative duties including mail processing, photocopying, scanning and document management
  • Assist other administrative team members as required and provide coverage for reception and team member absences including vacations, illnesses, and other leaves
  • Additional duties, as assigned

What you offer:

  • Post secondary education in Office Administration, Executive Assistant, or a related discipline, preferred
  • Minimum 1 year of experience in an administrative support, Partner Administrative Assistant, Executive Assistant or similar role; experience within a Public professional accounting firm is considered an asset.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Ability to effectively prioritize work, manage competing deadlines, and adapt to changing priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Highly organized with fine attention to detail and commitment to accuracy and quality.
  • Professional interpersonal skills with the ability to build and maintain positive working relationships.
  • Ability to work independently while contributing effectively within a team environment.
  • Demonstrated problem solving skills and ability to exercise sound judgement.
  • Ability to handle confidential and sensitive information with discretion.

This posting is to fill an existing vacancy. The salary range for this role is $50,000 - $65,000 per year. Compensation within the posted range will be based on the successful candidate's qualifications, experience and skills.
