We're looking for a Customer Service Administrator to be the go-to support for our customers, internal teams, and parts operations. In this role, you'll combine your administrative expertise, problem-solving skills, and attention to detail to deliver exceptional service while supporting critical business processes.

Reports to: Customer Service Representative, Supervisor
Shift: 5x2- Monday-Friday, 8h a day
Term: 12 month contract 
Allowances: Additional premiums and allowances are associated with this position due to location
Safety Sensitive: No- RCMP criminal record check and submission of 5-year provincial driving record will be required
Travel: up to 25% within Canada
Relocation:
 This position does not offer relocation

Key Job Responsibilities

  • Serve as the first point of contact for customer parts inquiries, providing accurate information and exceptional service
  • Process and manage purchase orders, quotes, returns, credits, and major shutdown orders while ensuring accuracy and compliance with customer requirements
  • Coordinate with purchasing and vendors to source parts and support customer needs
  • Manage freight invoicing, customer chargebacks, and vendor invoice processing through SAP and related systems
  • Maintain accurate inventory and documentation records, including cycle count entries and Bill of Lading (BOL) management
  • Support a strong safety culture while collaborating effectively with customers, vendors, and internal teams

Qualifications/Requirements

  • High School Diploma or equivalent
  • Minimum 2 years of customer service and/or administrative experience required; parts industry experience is considered an asset
  • Strong attention to detail and commitment to accuracy in data entry and transactional processing
  • Excellent organizational skills with the ability to manage multiple priorities and meet deadlines
  • Proficiency with SAP and Microsoft Office 365 (Outlook, Teams, Excel, Word, SharePoint)
  • Outstanding communication and relationship-building skills
