Description The Assistant Project Manager (APM) will assist project managers on a variety of public involvement and stakeholder engagement projects of varying complexity and/or will manage some smaller and less complex projects independently. This position will manage and act as a project liaison to the client, subcontractors, vendors, members of the public, government agencies, community organizations, and other stakeholders throughout the project. The APM will maintain document control, manage databases, and track project activities and communications to ensure project goals are accomplished within the prescribed timeframe and budget parameters.
Assist the Global Practice with overall public involvement and stakeholder engagement efforts.
Assist the Project Management team with proposal development, client presentations, project planning, and the preparation of detailed scopes of work for public involvement services and downstream contracts.
Assist with the development and implementation of public involvement plans, stakeholder engagement strategies, communication protocols, and project-specific outreach programs.
Manage the activities of public involvement specialists, outreach personnel, event staff, contingent workers, and subcontractors to drive project progress and maximize billability.
Manage stakeholder databases, mailing lists, contact records, public comments, commitments, inquiries, and project correspondence to ensure complete and accurate documentation.
Plan and support public meetings, open houses, hearings, workshops, and other stakeholder events, including venue selection, logistics, staffing, materials, presentations, and documentation.
Develop, review, and distribute public-facing materials, including notices, mailers, fact sheets, frequently asked questions, presentations, website content, meeting displays, and other project communications.
Monitor and document stakeholder concerns, emerging issues, and commitments, and work with project teams to develop timely and consistent responses.
Support compliance with applicable public notification, accessibility, records management, and stakeholder engagement requirements.
Manage subcontractor and vendor agreements, including change orders, invoice review, deliverable tracking, and schedule management.
Assist with project controls efforts, including project cost reporting, scheduling, project work breakdown structure establishment, project setup and closeout within the accounting system, and outreach and engagement progress tracking.
Assist with the development of internal and external reports, including project budgets, cost reports, cash flow forecasts, project status reports, stakeholder engagement summaries, public comment reports, and meeting documentation.
Participate in internal and external project risk reviews and consult with the Legal Department as required.
Close out contract and project documentation, including final public involvement records, stakeholder databases, comment-response documentation, and project communication files.
Adhere to Burns & McDonnell’s safety programs, training, and policies, as well as promote and manage the Safety & Health performance of project team members and subcontractors, particularly during public meetings and field-based outreach activities.
Perform all other duties as assigned.
Qualifications
Bachelor’s degree in Business Administration, Communications, Public Relations, Marketing, Public Administration, Urban or Regional Planning, or a related field from an accredited program and 5 years of applicable public involvement, stakeholder engagement, communications, or project management experience.
Excellent written and verbal communication skills.
Strong analytical and problem-solving skills.
Ability to thrive in a fast-paced, demanding work environment and manage multiple priorities and deadlines simultaneously.
Ability to attend and support evening or weekend public meetings, travel as required, and work outside normal business hours when project needs require.
High proficiency in Microsoft Office.
Experience with stakeholder relationship management systems, public comment databases, virtual meeting platforms, website content management systems, geographic information systems, or similar public involvement tools is preferred.
Experience planning and facilitating public meetings, open houses, workshops, hearings, or other community engagement events is preferred.
Ability to communicate complex technical information clearly and effectively to diverse audiences.
Ability to work collaboratively with owners, clients, public agencies, community members, contractors, project managers, engineers, and designers in a multidisciplinary project team environment to address stakeholder concerns, resolve project issues, and accomplish objectives.
