This role is pivotal in delivering a best-in-class workplace experience by focusing heavily on meeting and event support. The ideal candidate will possess a "can-do" attitude and the ability to handle high-touch client requests with efficiency and professionalism. You will serve as a primary point of contact for office culture initiatives, executive meetings, and daily operations within a dynamic WeWork environment.

Meeting and Executive Support

You will execute weekly setup for Sales Meetings, including portable TV configuration, and proactively manage the annual recurring booking for conference rooms. You will coordinate offsites for executives in Toronto and oversee breakfast and lunch catering for offsites and All Hands meetings, including budget coordination. You will manage room bookings as requested and provide further assistance as unique needs arise.

Workplace Operations and Room Management

This includes managing monthly orders for snacks and drinks at the start of each month and fulfilling specific office supply requests from clients as needed. You will collect mail from WeWork reception, filter for relevancy, and forward necessary items to the US Mailroom.

You will oversee daily work order review and follow-up to ensure impeccable work order performance and a superior customer experience, while maintaining digital SOP manuals and emergency procedures. You will manage guest pass distribution using the extra WeWork membership and coordinate keycard activation and deactivation. You will act as the main point of contact for the WeWork Community Team for any facility-related inquiries or issues, and comply with all safety procedures, maintaining good housekeeping and workspace safety.

Event and Culture Support

You will serve as the primary point of contact for the local Culture Force, assisting with office decorations and the planning of major office events, including Summer and Holiday parties. You will partner with ERG leads to support holiday celebrations, including event setup, cleanup, lunch coordination, and themed decorations. You will manage end-to-end logistics for Yahoo Canada All Hands meetings, including physical space setup, chair arrangement, and Google Meet TV configuration.

Technical Support

You will troubleshoot minor IT issues in the office as they occur, assist with the collection and shipping of hardware devices, and support basic technical operations by updating device software as required.

Team Engagement

You will demonstrate strong collaboration and teamwork with an account-wide IFM team, participate in monthly virtual team meetings, engage in one-on-one conversations with your manager, and attend weekly client meetings.

Desired Experience and Technical Skills
