Description

As a Maintenance Administrator, you will provide accurate reporting and data analysis for our Tractor Trailer Maintenance team while working with internal teams to ensure vendor accounts are properly managed. Your goal will be to communicate clearly with internal and external stakeholders, provide regular reporting for the team and ensure all invoices and work orders from vendors are accurate and processed weekly for payment. Your success will be dependent on your ability to support the Tractor Trailer Management team with day-to-day operations and reporting.

Your Responsibilities:

  • Accurately input, track and monitor repair work done to fleet vehicles by outside vendors through the Fleet Maintenance System
  • Validate vendor invoices, identify any discrepancies and work to resolve each issue, escalating to the Manager as needed
  • Process weekly vendor payment batches to send to Accounts Payable for processing
  • Maintain accurate equipment information within the system
  • Utilize technology to effectively gather and respond to requests for information for managers, and customers
  • Take ownership and accountability until a problem is resolved
  • Effectively apply knowledge of distribution policies and procedures
  • Manage and update Excel inventory spreadsheet and complete month end process
  • Produce outcomes that demonstrate an understanding of financial impacts

Your Skills: 

  • Must be able to multi-task, organize and prioritize business objectives
  • Excellent communication skills are necessary, both oral and written
  • Strong attention to detail and effective time management
  • Strong knowledge of MS office applications, particularly Outlook and Excel
  • Ability to work within the Trimble suite of applications TMT and TMW

Your Experience:

  • High School education or GED required with a preference for post-secondary education
  • 2-4 years related experience with inventory balancing and/or accounting knowledge
  • Previous exposure to the transportation industry would be considered an asset
