Administrative Assistant - Full time, National Vocational Services (Home-based Remote in Calgary)

As an Administrative Assistant within our National Vocational Services Team, you are part of a team of working diligently to provide consistency of service while meeting the scheduling requirements of our patients and care providers.  You ensure a favourable impression of CBI Health with pleasant, cooperative and knowledgeable administrative service to our clients.  This position is best suited to someone who is driven to help others in a compassionate and caring way while balancing the pressures to deliver on scheduling requirements.

Take an inside look at what you’ll do each day:

  • You’ll provide friendly and knowledgeable customer service to our clients
  • You’ll maintain client files and information in a confidential and secure manner
  • You’ll coordinate referrals and assist with discharging files where appropriate
  • You’ll achieve scheduling and billing efficiencies while delivering on administrative requirements
  • Manage daily schedule to minimize cancelled appointments and vacancies. Books appointments either by telephone or in person. Calling to re-schedule any missed appointments
  • Respond in a timely manner to customers and explain CBI Health vocational services to clients, funders, and employers
  • Working with the National Vocational Services team to foster and develop new business and maintain strong relationships with our current business contacts
  • Preparing, organizing and maintaining client files for appointments as necessary
  • Coordinates the flow of letters: updates and copies documents for files
  • Ensures referral to admission cycle times are within acceptable parameters
  • May be required to supervise and train other support staff under the direction of the Administrator or Vocational Manager
  • Provides information as required to WCB, insurers, CBI, region and corporate groups
  • Reports directly to the Administrator unless specified by the Vocational Manager

Here’s what you’ll need to be successful:

  • Warm, friendly telephone manner
  • Customer service experience required, ideally in the service sector
  • Knowledge of the rehabilitation sector
  • Computer literacy (Windows and Excel)
  • Ability to communicate well internally and externally
  • Strong organizational and problem-solving skills
  • Ability to work independently and within a dynamic team environment
  • Have a Diploma or Certificate and/or equivalent experience in Business, Administration or related studies
